Documentation Officer

Job Mandate
Responsible for processing loan/lease documentation and collateral releases in line with:
- Approved credit terms (CP / Loan Approval Sheet / Credit Evaluation Sheet)
- Bank and BDOFC policies and guidelines
- Standard operating procedures
- Agreed service levels with IBG, BBG, BDOFC, and Remedial Management
Core Functions
1. Documentation Processing
- Reviews approved credit conditions
- Prepares:
- Loan/lease documents
- Checklists and certifications
- Letters to agencies, clients, banks, developers, sellers, SM Group
- Computes applicable fees, taxes, and registration costs
2. System & Data Validation
- Ensures completeness of Customer Information File (CIF) in:
- AOW
- ICBS
- AFE
- FAMS
3. Document Imaging
- Scans and indexes documents in Mobious per Chart of Documents
4. Collateral Release Processing
For partially/fully paid accounts or approved requests:
- Secures clearances and outstanding balances
- Prepares:
- Collateral Release Advice (CRA)
- Deed of Sale
- Release of Mortgage (ROM)
- Coordinates retrieval of original documents with custodians for DAMS
5. Approval Compliance
- Affixes initials (within authority) on:
- Documents and checklists
- CRA, Deed of Sale, ROM
- Prior to release to requesting units
6. Other Duties
- Performs additional related functions as assigned
