Position Title: Administrative Officer
Department: Loans Administrative Department
Location: Onsite – Ortigas
Job Summary:
The Administrative Officer is responsible for assisting the Department Head(s) in managing and coordinating all administrative matters within the Loans Administrative Department. The role may also include operations-related tasks as assigned.
Key Responsibilities:
- Serve as the liaison officer and central point of contact (POC) for the department, coordinating with other business units.
- Manage incoming and outgoing correspondence and documents, including:
- Preparing and finalizing memos
- Document distribution
- Recording and reviewing
- Consolidating materials for Department Head approval
- Assist in organizing regular department General Assemblies, including preparation, attendance tracking, and minutes taking.
- Provide administrative support to the Department Head, ensuring discreet handling of sensitive and confidential business information.
- Assist in encoding, preparing, and editing documents and presentation materials as required by the Department Head or Team Heads.
- Organize and maintain the office filing system.
- Schedule and coordinate internal and external appointments and meetings.
- Manage visitors, phone calls, billings, and reimbursements.
- Support employee-related administrative activities within the business unit.
- Perform regular operations-related tasks as assigned by the Department Head.
Qualifications:
- Bachelor’s degree graduate, preferably in a business-related course.
- Proficient in office productivity tools (e.g., spreadsheets, presentations, word processors).
- Prior experience in administrative work.
- Strong organizational, problem-solving, and analytical skills.
- Effective communication skills.
- Highly motivated and passionate about work; demonstrates self-discipline with minimal supervision.
- Flexible and adaptable to changing tasks and priorities.
