Job Mandate

Responsible for checking and verifying loan transactions to ensure implementation in accordance with the prescribed policies, procedures and regulations; checking accuracy of maintenance of loan records in the ICBS loan subsystem.

 

Duties and Responsibilities

A) LO 1 Loan Operations Management and Transaction Review & Approval for IBG, CLG & Specialized loan

1 Reviews the completeness and accuracy of all required transaction media prior to implementation.

2 Checks the accuracy of the maintenance of loan records, in the ICBS loan subsystem incuding CIF creation.

3 Checks the completeness / accuracy of data on the documents and reports prepared by the staff.

4 Reviews centralized sub-processes activities of the section to optimize productivity and oversee the quality control process of the unit. .

5 Checks the accuracy of CASA postings relative to implementation of loan transactions..

6 Verifies if all amortizations with automatic debit arrangements are posted on due dates.

7 Ascertains that all check payments sent for clearing and returned checks are duly posted in ICBS.

8 Reviews the batchsheets, Accounts Receivables and Miscellaneous Liabilities Disposition sheets prepared by the staff to ensure completeness and accuracy of the bookkeeping entries for transactions for the day

9 Verifies the balance workstation submitted by the processors.

10 Checks and verifies payment posting for accounts with special payment arrangement (SPA) and shadow/manual ledgers (for RMU)

11 Override to authorize CASA postings for loan transactions P200,000.00 and above (for Shared Services & Disbursement).

12 Review & Approves accounting entries generated from the BDO Comptrollership Accounting System (BCAS) for Loans

13 Additional-Reviews and approves the implementation of Requests for Booking/ Loan Restructuring/ Redenomination in accordance with the terms and conditions set forth in the approved credit proposals ensuring compliance with established policies, procedures and regulations (applicable for IBG and CLG accounts only).

14 Reviews and approves the completeness/accuracy of data on the promissory notes, transaction tickets, check issuances and other loan documents prepared by the staff.

15 Authorize implementation of loan transactions up to approving authority limits as provided by the LOD Approval Matrix

16 Acts as alternate processor whenever the need arises

B) LO 1 Loan Servicing for IBG, CLG & Specialized loan

1 Reviews the accuracy of statement of account, amortization schedule, certification of loan balances, schedule of loan payments, history of payment, Notes Clearing, LOD Returned Checks, SOA & Certification, PDCs, Promissory Notes, collateral release advice and other loan records issued by the unit/section.

2 Ascertains the timely and accurate processing of transactions and that turnaround time commitments are complied within the approved Service Level Agreement.

3 Reviews all loan returned checks are properly reversed monitored and coordinated with concerned unit of account.

4 Ascertains the accuracy and timeliness of remittances to BSP for collections received from loans rediscounted with BSP

5 Ascertains the accuracy and timeliness of remittances to funders of special financing loans

6 Attends to inquiries of account officers and assists in coordinating with the account officers and LOD Units on matters related to loan implementation.

7 Attends to concerns and inquiries replies to lotus notes or phone inquiries relative to loan transactions handled.

C) LO 1 Custodianship of Loan Documents for IBG, CLG & Specialized loan

1 Ensures all post-dated checks are complete with no technical deficiency before turnover for clearing.

2 Ensures that all loan returned checks are properly kept in a secured designated area of the records vault (applicable for SLPS-Shared Services).

D) LO 1 Other Loan Operations Related Functions for IBG, CLG & Specialized loan

1 Acts as alternate control officer of the unit or other sections of the department whenever the need arises.

2 Assists in the disposition of notes clearing account, loan returned checks and acts on referrals for interoffice and AR/AP/ML/MA research floats.

3 Monitors the submission of the Certificate of Creditable Withholding Tax (CWT) and issues the necessary follow-ups with the managing account officers.

4 Reviews and approves the daily BDO Comptrollership Accounting System (BCAS) entries for Loans including reconciliation of float items and extraction of litigation expenses of the unit.

5 Disseminates information, new policies, procedures, BSP Circulars and regulations to the understanding of the members of the team.

6 Participates in the formulation of work procedures, review of existing procedures and process improvement & UAT that would require automation or maximize Full Time Equivalent (FTE) on areas for enhancing operating efficiency.

7 Provides replies to audit exceptions and ensure that corrective actions are taken and have been regularized.

8 Attends coordination meetings with other bank units.

9 Verifies and initiate exporting of scanned documents in the DMI system

10 Attends to concerns and inquiries relative to loan transactions handled.

E) LO 1 Administrative Function for IBG, CLG & Specialized loan

1 Trains new staff to equip the staff with the knowledge of bank loan policies and procedures.

2 Assists the unit / section officers in the performance review of the staff.

3 Exercises approving authority as defined.

4 Ensure the security and proper maintenance of bank equipment and properties assigned to area of responsibility.

5 Reviews status of assigned projects / accomplishments on a periodic basis

6 Performs other related functions that maybe assigned from time to time.
