ADMINISTRATIVE ASSISTANT

 

Responsible for assisting the Head in all administrative matters for the unit/department.

 

 

KEY DUTIES AND RESPONSIBILITIES:

 

1.Schedule and coordinate appointments/meetings.

  • meeting venue and required resources/equipment
  • refreshments/meals
  • logistics

2.Handle all incoming and outgoing calls.

3.Receive, screen, and assist visitors

4.Handle all incoming and outgoing correspondences

  • prepare draft memos
  • finalize copies of memos
  • receive, sort, and distribute all incoming correspondences
  • record and release all outgoing correspondences

5.Handle supplies and company giveaway requisitions

6.Assist in the preparation, distribution of unit's company related requirements

7.Photocopy/fax documents as required

8.Monitor phone expenses

9.Receive notices of absence from department/unit employees

10.Manage files and records

11.Assist in the preparation of documents/presentation materials

12.Trains office assistants

13.Schedule leaves, anticipate, and endorse duties/responsibilities when on leave

14.Perform other related functions as may be assigned from time to time

 

 

 

KEY QUALIFICATIONS:

Bachelor's Degree

Preferably with experience using office productivity tools like spreadsheet, presentation, and Word processor

Knowledge in clerical and scheduling work

Good organizational and problem-solving skills

Highly supportive of business and of its ideas

Neutral toward technology, vendor and product choices, and result oriented
